The Administrative Assistant acts as administrative support to the Senior Director of Operations for SPJA by performing the following duties:

  • Secretarial Duties: Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Create presentations and reports requested.
  • Time Management: Conserves the Senior Director of Operations’ time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Communications: Maintain an efficient flow of information between all levels of the Senior Director of Operations’ internal and external contacts on a wide spectrum of the organization’s plans and priorities.
  • Editing: Reviews, proofreads, and formats all correspondence prepared by the Senior Director of Operations to ensure accuracy and completeness as well as consistency with organizational policy.
  • Calendar Management: Maintains Senior Director of Operations’ appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Confidentiality Protection: Maintains confidence and protects the organization by keeping information confidential.
  • Expense Reports: Collecting and organizing Senior Director of Operations’ receipts in compliance with finance policies and procedures. Ensuring expenses are recorded up to date within one week of purchase.
  • Travel Booking: Coordinates Senior Director of Operations’ travel needs with SPJA identified travel agency ensuring.
  • Notes: Takes notes on behalf of the Senior Director of Operations. Provides historical reference when applicable.
  • Reception: Act as back up to existing SPJA receptionist including duties such as general office clean up, resource calendar management, and office errands.
  • Other duties as assigned.

The Customer Service Coordinator/Receptionist position performs routine clerical, secretarial and administrative work in answering telephones, receiving and interacting with the public, providing customer assistance, data processing, and record-keeping.   The major areas of responsibility include:

  • Interaction with the Public: Deal directly with the public either by telephone, electronically or in person.
  • Information Services: Provide information to the public and coordinate requests for special arrangements as appropriate with courtesy and efficiency.
  • Liaison: Serve as a conduit between customers and multiple departments within SPJA to streamline communications, policies, procedures, and deliverables.
  • Volunteer Management: Hire, train, and supervise a team of volunteers for at con needs.
  • Responsiveness: Respond promptly to inquiries and requests in a timely manner.
  • Analytics: Through Desk.com, run reports and provide analytics regarding response times, and inquiry types.
  • Reporting: Maintain record details of inquiries, comments, and complaints as well as actions taken.
  • Interdepartmental Coordination: Communicate needs with other SPJA department/divisions as well as related SPJA vendors.
  • Process Improvement: Follow up on customer interactions and provide feedback on efficacy of the customer service process.
  • Marco Construction: Create flow charts, and program automated responses using templates for common inquires.
  • Reception: Answering the telephone and responding to all inquiries regarding the SPJA and its events in a professional and timely manner.
  • Mail: Sorting all communications and inquiries coming into the office (including physical, postal, and electronic mail) in such a manner that they can be addressed in a timely and professional fashion. This includes receiving all deliveries made to the office.
  • Inventory: Developing, documenting, administering, and maintaining an inventory control system. This includes, but limited to, communicating various departments who have inventory at the office as well as ensuring that all parties have copies of their inventory. This includes general office supplies such as staples, envelopes, paper reams, etc.
  • Calendar Management: Update and maintain office schedules and calendars.
  • Other duties as assigned.

The Director of Content of the Society for the Promotion of Japanese Animation ("SPJA") is responsible for the business development and ideation for SPJA’s event content and programming strategy. The major areas of responsibility include:

  • Content and Programming Acquisition: Responsible for the acquisition of content and programming strategy of SPJA’s Anime Expo, Project Anime, and other events. This will include events that have in excess of 900+ hours of programming such as concerts, panels, workshops, interactives, streaming, and other content related programming. This requires close collaboration with the Senior Director of Operations, Director of Industry Relations, and Chief Executive Officer, as well as the production and fulfillment teams.
  • Content Analysis: Develop deep analyses using descriptive analytics and advanced quantitative methods to optimize our content marketing efforts, informing event spend, and industry trends. Measure and report on the results to be able to gauge content effectiveness across various campaigns and build more impactful content recommendations in the future based on those learnings.
  • Relationship Building: Manage and grow existing key partnerships in order to optimize our business relationships, i.e. negotiating deal renewals, overseeing delivery of reporting and materials, working with internal and external partners on event promotion to ensure optimization. This includes both domestic and international partnerships.
  • Monetization: Help identify and implement new monetization techniques & sales opportunities to drive revenue results through unique event ideas and custom event marketing opportunities.
  • Business development: Responsible for supporting the packaging, pricing, promotion, selling, and activation of SPJA’s custom event marketing opportunities. Must attend top trade shows and industry conferences.
  • Vendor Management: Source, negotiate, and manage performances of key third-party vendors such as talent brokers, agencies, etc.
  • Planning and Budget Management: Develop, track, and manage all functions of the Content and Programming department budgets including forecasting, planning, and compliance with SPJA finance policies and procedures.
  • Other responsibilities as assigned.
  • Role will report directly to the Senior Directors of Operations and work in conjunction with and as a partner to Director of Industry Relations, Senior Director of Operations, and Chief Executive Officer.

To perform the Director of Content job successfully, an individual must be able to perform each essential responsibility satisfactorily. The following requirements are representative, but not all-inclusive of the knowledge, skills, and abilities required for this role.

  • 5 - 10 years of proven results in event planning, sales, marketing, and business development in the anime and/or video game industry.
  • Bachelor’s Degree in marketing, advertising, animation, business, or other related degree.
  • Fluent in Japanese and English.
  • Strong leadership skills, with an understanding of what it means to lead by example.
  • In good health, able to walk all day during SPJA events with reasonable accommodations as required.

The Inside Sales Coordinator helps bring our event to life and keeps our team and customers informed. You're responsible for the coordination and support of all sales needs for SPJA.

Responsibility

  • You'll support the Sales team, managers and clients; coordinate with Operations and Entertainment team to ensure on time delivery and inventory status and arrange services through Operations and follow-up with customers
  • Contract and client process management- Process daily sales orders, sales reports, presentations and forecasts
  • Manage, create and present Open order reports and other status reports
  • Provide RMA (Return Material Authorization) service
  • Maintain a pleasant and professional relationship with customers and ensure their overall satisfaction
  • Manage, create and update all order information both physically and digitally
  • Prepare quotes, deal with regulatory issues, work closely with logistics team, and provide excellent customer service
  • Work in partnership with outside sales staff 
  • Manage event supply chain, house accounts and existing customers

  • Fully proficient in MS Office, order entry, purchase orders, invoices, and shipping documents 
  • SAP or ERP experience a plus
  • Solid multitasking ability, organization, administrative skills
  • This role speaks to the world about our events, so fluency in Japanese is a big plus
  • You bring hustle, our events involve walking all day
  • Good judgement, high ethics and calm problem-solving skills, even under pressure

The Production Manager is responsible for the management of a team of coordinators and vendors for the space planning, coordination, and execution of all activities and activations for SPJA events including, without limitation, shows, concerts, industry panels, and screenings.

The Production Manager must be creative, organized, able think creatively and quickly, and able to approach unique problems in new ways as well as an excellent collaborator and planner, with great attention to detail, as well as hold a proven track record in live events and conventions.

The Production Manager’s responsibilities include, but are not limited to, the following:

  • Team Management: Manage the team of coordinators and vendors, including supervision of work, headcount compliance, disciplinary actions, and motivation of employees and volunteers.
  • Event Management: With support from staff, industry partners, and talent, the Production Manager is responsible for set up, take down, and execution of SPJA events.
  • Talent Facilitation: Partner with others to facilitate the coordination of talent time, needs, and communications.
  • Creation:  In the event that it is not provided by outside parties, the Production Manager is also responsible for the creation and management of the individual show writers, show script, A/V direction and preparation details.
  • Relationship Building: Have ongoing communication and maintain positive relationships with external partners to ensure the success of SPJA events.
  • Administration and Collaboration: Coordinate all aspects of the production of events including, but not limited to: calendar management, budget forecasting and adherence, internal and external communications, and policy enforcement. Work closely with necessary departments and divisions to ensure all Event needs are met.
  • Customer Service: Dealing with any issues that arise with attendees, volunteers, industry partners, and guests as it pertains to the production of events.
  • Vendor Management: Assist in managing vendors involved with the production of events.
  • Organizational Planning: Execute projects that improve the processes and workflow.
  • Other duties as assigned.

Requirements: 

  • Integrity
  • A minimum of 5 years relevant experience with an event production background.
  • Stage-management experience.
  • Must be able to lead, and supervise staff in an organized fashion.
